About the Role The Inbound Appointment Setter / Customer Service Representative (CSR) is a dynamic hybrid role that blends customer service with sales support—playing a critical part in driving business success. As the first point of contact for potential customers, you’ll create powerful first impressions, build trust quickly, and guide leads seamlessly through the booking process. This is not a passive receptionist role. You’ll think and act like a sales professional—handling objections, nurturing leads, and ensuring the sales team is set up for success with fully qualified, confirmed appointments. Success in this role comes from understanding financing options, the insurance claims process, and internal sales systems—allowing you to confidently guide customers while supporting a high-performing sales team. Key Responsibilities Lead Handling & Customer Interaction
- Answer inbound calls, web inquiries, and social media messages with professionalism, urgency, and enthusiasm.
- Qualify leads by asking insightful questions to understand needs, pain points, and timelines.
- Build rapport quickly, establish trust, and deliver an exceptional customer experience from the first interaction.
- Confidently handle objections (pricing concerns, insurance questions, scheduling hesitations) and guide conversations toward booking.
- Educate customers on services, warranties, financing options, and company value. Appointment Setting & Sales Support
- Schedule qualified appointments with complete and accurate information.
- Confirm appointments and help optimize scheduling for efficiency.
- Track and follow up on qualified leads that haven’t yet booked.
- Coordinate closely with sales representatives to ensure they are fully prepared.
- Reschedule or reassign appointments as needed to maximize coverage and productivity. Sales Process Integration
- Develop a strong understanding of the internal sales process to ensure smooth handoffs.
- Learn how to support estimate preparation and pre-appointment readiness.
- Understand financing programs and explain them clearly and confidently to customers.
- Maintain knowledge of the insurance claims process and guide customers through next steps.
- Log all interactions, notes, and customer details accurately in the CRM.
- Ensure every lead is tracked and moved through the pipeline—no missed opportunities.
- Share insights with leadership on trends, objections, and opportunities to improve performance. Customer Service & Office Support
- Help gather customer reviews and testimonials post-service.
- Follow up after appointments to ensure satisfaction and encourage referrals.
- Support administrative tasks such as data entry, scheduling, and communications.
